Description:

Invitation to Request for Proposal:  For “RFP 12/19 - Staff Scheduling Management Software”.  The Request for Proposal document and attachments have now been posted on BC Bid website: https://www.bcbid.gov.bc.ca/open.dll/welcome?language=En, Solicitation Number: RFP 12/19, or by contacting Purchasing Services at 250-475-5494, local 3480.

Summary Details:  The purpose of this Request for Proposals (“RFP”) is to select one (1) qualified Proponent to enter in Contract with the Corporation of the District of Saanich (“District”) to provide the following:

  1. Replace the Saanich Fire Department’s manual process for scheduling and forecasting staffing requirementsin Excel, Word and magnetic board with an automated staff scheduling management system (“Solution”);
  2. Configure and implement the proposedsystem to meet the District’s requirements;
  3. Train the District staff in preparation for the golive date; and
  4. Provide support and maintenance for three (3) years after the go live date with the option to extend, at the District’s sole discretion, for three (3) additional one-year terms.

Section 5.0 outlines the evaluation process for selecting the Preferred Proponent.

It is anticipated that the work will commence no later than December 9, 2019. See section 2.5 for the Schedule of Events, and section 2.9 – Proponents’ Meeting.

Note to Proponents:  Proponents’ Meeting will be held at 1:00 pm on October 3, 2019 (see RFP section 2.9 for details).  To receive the meeting location details for the Proponents’ Meeting and to receive the Proponent’s Package, please complete and return Appendix C – Proponent Registration Form.  The purpose of the Proponents’ Meeting is to address any questions Proponents may have about this RFP’s scope of work and/or procurement process.  Attendance is strongly encouraged.
